Install HyperFiler
HyperFiler installs as an Office add-in inside Outlook. Setup takes about 60 seconds. There is nothing to download to your computer; the add-in is loaded by Outlook directly.
- Open Outlook on Windows, Mac, or the web. (Mobile is not currently supported.)
- Go to Get Add-ins. In Classic Outlook on Windows this is on the Home ribbon. In New Outlook and Outlook for Mac it is the ... menu, then Get Add-ins. In Outlook on the web, click the gear icon then View all Outlook settings, then Add-ins.
- Search for HyperFiler and click Add. Confirm any permission prompts.
- Find HyperFiler in your Outlook toolbar (it appears as an icon in the message list or reading-pane toolbar) and click it to open the task pane.
For locked-down tenants: if your IT administrator restricts add-in installation, they can pre-approve HyperFiler via the Microsoft 365 admin center. Send them support@hyper-filer.com for a deployment guide.
Sign in to Microsoft
The first time you open the HyperFiler pane, you'll be asked to sign in with your Microsoft account. This is what gives HyperFiler permission to file emails on your behalf.
Sign in opens a Microsoft popup. If your browser blocks popups, allow them for hyper-filer.com and try again. The permissions HyperFiler requests are:
- Mail.ReadWrite: to read your folder list and move emails between folders
- Files.ReadWrite.All: to save attachments and email copies to your OneDrive
- User.Read: to display your name and email in the add-in
You can revoke these any time at myaccount.microsoft.com. See the Privacy Policy for the full data story.
File your first email
The very first time you file an email from a given sender, HyperFiler doesn't know where it should go yet, so you'll choose the destination manually:
- Select an email in your inbox.
- Open the HyperFiler pane.
- Click Browse folders, search or browse to the folder you want, and click File.
- Done. HyperFiler now remembers that this sender's emails go to that folder.
From the next email onwards, when this sender (or any sender on the same domain, depending on your learn-by setting) emails you, HyperFiler will surface the right folder in a green suggestion banner. One click to file.

Filing emails
The daily filing flow is simple: read the email, glance at the HyperFiler pane, click File. Three states you'll see, depending on what HyperFiler knows about the sender:
Suggested folder (green banner)
HyperFiler has filed at least one email from this sender before. The most-used folder appears in a green banner above the action buttons. Click File and the email moves there.
No history (greyed File button)
HyperFiler has never filed anything from this sender. The File button is disabled until you pick a folder. Click Browse folders to choose. After this first filing, the green banner will appear next time.
Conflicting history (multiple folders used)
If you've filed emails from this sender to several different folders, HyperFiler still suggests the most-used one in the banner, but the others are visible if you click Browse folders, ranked by frequency of use. Pick whichever fits the current email.
Browse and search folders
Click Browse folders to open the folder picker. There are two tabs:
- Search: type any part of a folder name. The list filters as you type. Best when you know what the folder is called but not exactly where it sits.
- Browse: the full folder tree, expandable by clicking the arrow next to each folder. Best when you want to see the structure visually or pick a deeply nested folder.

Once a folder is selected (it'll be highlighted in blue), the File button becomes active. Click it to file.
Save attachments to OneDrive
When the email has attachments, HyperFiler shows them at the top of the pane with a Copy and Move button next to each one (and a suggested folder if you've saved attachments from this sender before).

Copy vs Move
- Copy — saves the attachment to OneDrive and leaves the original attached to the email.
- Move — saves the attachment to OneDrive and removes it from the email. The email body gets a small note saying where the attachment was moved, with the OneDrive path.
Copy is safer for most uses. Move is for when you want to keep mailbox sizes down and you trust OneDrive as the canonical store.
Picking a OneDrive or SharePoint location
The first time you save an attachment, click Choose folder... to pick a destination. You can pick from your personal OneDrive or any SharePoint site you have access to. To add a SharePoint site, click Change drive, then paste the site URL (it looks like https://yourcompany.sharepoint.com/sites/SiteName).
Slow first load? The first time HyperFiler loads your OneDrive folder list it can take a minute or two depending on how many folders you have. Subsequent loads are instant because the list is cached. The cache refreshes daily, or you can refresh it manually with the ↻ icon next to Choose folder.
Save email copies to OneDrive
Beyond attachments, HyperFiler can also save the email itself as a .eml file to OneDrive. Useful for compliance, audit trails, or keeping records of important conversations outside the mailbox.

To use it: tick the Save email copy to OneDrive or SharePoint checkbox, pick a OneDrive folder (or use the suggested one), then click File. The email is filed in Outlook AND saved to OneDrive in the same operation.
Filename format: 2026-05-08 Sender Name — Subject.eml. Sortable by date, double-clickable in Outlook to re-open.
Email audit
The Email Audit button (top of the HyperFiler pane) exports your full inbox history to CSV. One row per unique sender, sorted by total email count.

What's in the audit
For each sender, the audit shows:
- Sender email and display name
- Total email count
- Number of those emails that had attachments
- First and last email date (your full correspondence range with this sender)
- Top 5 folders the sender's emails have been filed to, with counts
Running the audit
Click Email Audit in the HyperFiler pane. The audit pages through your full mailbox in batches; a busy mailbox can take a few minutes. When done, click Download CSV.
The CSV opens cleanly in Excel, Google Sheets, or any spreadsheet app. Sort by email count to see your biggest correspondents. Sort by attachment count to find your heaviest paperwork senders. Filter the location columns to spot inconsistent filing.
Block sender
The Block button on the main pane moves the current email to Junk and adds the sender to your Outlook block list. All future emails from that sender will go to Junk automatically. Useful for newsletter senders who don't honor unsubscribes, or persistent spammers.
Deleting emails
HyperFiler doesn't have a separate Delete button. To get one-click deletion, create a dedicated folder in your Outlook (call it whatever you like, for example "Deleted by HyperFiler", "Bin", or "Trash") and file emails you want to delete into that folder. Because HyperFiler remembers where you file each sender's emails, the second email from that sender will then offer the same folder with one click, exactly like normal filing.
Why this pattern: Outlook's native Deleted Items / recycle bin operates at the mail client level, and the permissions needed to send items directly there aren't available to add-ins like HyperFiler. Filing to a folder you control keeps you in charge: nothing is permanently destroyed, you can review what's in there at any time, and you can empty the folder manually in Outlook when you're ready.
Tip: If you mostly want to clear out a noisy sender rather than block them entirely, this pattern is a softer alternative to Block. The sender keeps reaching your inbox but each email gets filed straight to your delete folder with one click.
Settings reference
Click the ⚙ gear icon in the HyperFiler pane to open settings. Available options:
Mark emails as read when filed
When on, filing also marks the email as read (so it stops counting as unread). Most users want this on. Off if you prefer to manage read state separately.
Auto-route to Focused inbox when filing
When on, every sender you file emails from is automatically routed to your Focused inbox in future, using Microsoft's Focused Inbox override. This keeps people you care about visible in your main view, away from the Other tab. On is the default.
Note this is distinct from the traditional Safe Senders list. HyperFiler doesn't touch that list. If you'd rather rely on Outlook's own Focused Inbox learning instead (which happens passively as you move emails), turn this off.

Sender vs domain filing
HyperFiler's filing memory can be keyed at two levels:
Individual sender (more precise)
Each sender's emails are tracked separately. sarah@northwind.com and james@northwind.com have independent filing histories. Use this if different people at the same company go to different folders (e.g. Sarah is your client contact, James is in their finance team and her invoices go to a different folder).
Domain (more aggressive)
All emails from @northwind.com share filing history. The first time you file from anyone at Northwind, HyperFiler suggests the same folder for everyone else at Northwind too. Faster onboarding, less precise.
You can change this setting at any time. It applies prospectively only: past filing history stays as-is.
Focused inbox routing
By default, HyperFiler tells Outlook to route emails from senders you file into your Focused inbox. The mechanism is Microsoft's Focused Inbox override: filing an email from example@company.com tells Outlook to always show their messages in Focused, never Other. The setting controlling this is Auto-route to Focused inbox when filing in the Settings panel.
A few things worth knowing:
- This is the Focused vs Other classification, not the Inbox vs Junk one. HyperFiler does not touch your Safe Senders list, and does not change how Outlook's spam filter behaves.
- Outlook also learns Focused Inbox preferences passively from your filing activity. If you turn the HyperFiler setting off, Outlook will still gradually learn which senders matter to you, just more slowly.
- To review or remove Focused Inbox overrides, go to Outlook on the web → Settings → Mail → Layout → Focused Inbox.
Refresh folder cache
HyperFiler caches your folder list locally for performance. The cache refreshes automatically once a day, but if you've created a new folder and want to file to it immediately, click the ↻ icon next to Browse folders to refresh manually.
You can see when the cache was last refreshed in Settings, under the Mail Folders section.
Troubleshooting
HyperFiler doesn't appear in my Outlook ribbon
Restart Outlook completely (close all windows, then reopen). If still missing, go to Get Add-ins in Outlook and confirm HyperFiler is enabled. On managed tenants, your IT admin may need to approve it.
Sign-in doesn't complete
The sign-in flow opens a Microsoft popup. If your browser blocks popups, allow them for hyper-filer.com and try again. On strict tenant configurations, your admin may need to grant consent. Press F12 to open browser dev tools and check the Console for the specific error message, and share it with support if you can't resolve it.
Folder list looks empty or out of date
Click the ↻ icon next to Browse folders. The folder list is cached for performance and refreshes once daily. The first refresh on a large mailbox can take a minute or two.
"Save email copy" checkbox is greyed out
You need to pick a OneDrive folder first. The Save email copy feature reuses the same destination as your attachment saves, so click Choose folder... in the attachments section to pick one.
Filing fails with "Authentication error"
Your Microsoft session may have expired. Click Sign out in the HyperFiler pane, then sign in again.
Pane shows a blank screen
This usually means the pane couldn't load HyperFiler's frontend (a network issue, a strict ad blocker, or your tenant blocking hyper-filer.com). Try reloading the pane (right-click in the pane and select Reload). If still blank, check that hyper-filer.com isn't blocked by your firewall or ad blocker.
Privacy and data
HyperFiler stores all your filing history locally on your device, not on our servers. We never read the body of your emails (except briefly when you opt into the Save email copy feature, where the email content is fetched and saved to OneDrive in one transient operation).
Full details in the Privacy Policy.
Deleting all your HyperFiler data
To clear everything HyperFiler has stored:
- Click Sign out in the HyperFiler pane (clears tokens and folder cache)
- Clear your browser's localStorage manually (via developer tools) for full removal of filing history
- Uninstall the HyperFiler add-in from Outlook
